GameChanger Team Manager App Overview - Coaches

Thank you for coaching with us this Spring! Recognizing the importance youth soccer provides our families and community – especially during these uncertain times – Loudoun Soccer is committed to creating a safe environment for all of our members.

We are excited to announce our usage this season of the Dick's GameChanger Team Manager app, a free software designed primarily to display schedules, track and attendance, and communicate updates, which also features a Health Tracker questionnaire to be used for families to screen their child before attending a scheduled event.

For our Rec teams this season, we will no longer be utilizing the Pre-Play Questionnaire Google Survey and Database system from the Fall season.

Please see below regarding important information on utilizing this App, and some common scenarios you may encounter.

Creating Your Account and Importing Your Team

The following steps need to be completed to create your account and import your roster.

1. Download the App: GameChanger Team Manager

Visit the app store or Google Play (iOS and Android).

2. Open the App and locate/import your team

Read this help article

Be sure to choose the first option listed: Create New Team

Log in with the email address associated with your Loudoun Soccer volunteer registration (this MUST be the same email address to import your team roster and schedule)

Teams in which you’re assigned to coach will then be found.

3. Confirm your email address.

You’ll receive an email asking you to confirm your email address. Confirm your email address in that message.

Be sure to check your spam or junk folder for this message.

 
4. Import team details

The select the team(s) associated with your account, then click Import at the top right of the screen.

You can now access the App and its features!

Access, View, or Edit Your Roster

Click on “Team” to view all of the players on your roster.

Your team’s roster should import but you may need to complete some steps manually in the event you need to re-invite individuals or add new players.

To re-invite a family to join:

Families are automatically notified to download the app and accept your invitation to join once you create your team’s account and import its roster. However, that invitation may end up in their junk or spam folder, or missed entirely.

Coaches can re-send the invitation from the following steps:

1. 
Click on the name of the family member with the “clock” icon next to it.

2. 
Locate the name(s) of the family member who needs the invitation resent – look for the clock icon and touch their name.

3. Click the “resend invite” link.

To add a player who didn’t import cleanly, or has joined your team since creating your account.

1. Verify this player is on your official roster. Log-in to your Sports Connect account to visit your Team Page. REMEMBER: your Team Page roster is your official team roster. Only players on your Team Page should be in your GameChanger Team Manager app, and are allowed to play and practice.

To edit an existing player or staff member with new info (phone, email, etc.): read this article.

To add a new Staff member (assistant coach, etc.): read this article.

REMEMBER: only team staff members on your Team Page are considered official coaches (passed a background check and assigned to your team). DO NOT add a staff member to your account unless they appear on your Team Page.

View and Update Your Schedule

Schedules (practices and games) should automatically import when you create your account, and update when/if changes occur or events are added by Loudoun Soccer.

REMEMBER: your official team schedule is listed on your Team Page in Sports Connect. Be sure to review your Team Page schedule with your app schedule to ensure families have an accurate schedule.

Rec 1 (Grades 1-2): add your Spring Jamboree on Saturday June 5 as a "save the date" and update later once details are published!

Challenge 2 (Grades 5-6): add Playoffs on Saturday June 5 as a "save the date" and update later once details are published!

Classic  (Grades 7-8): add Playoffs on Saturday June 5 as a "save the date" and update later once details are published!

High School 7v7 (Grades 9-12): add Playoffs on Saturday June 5 as a "save the date" and update later once details are published!

Using the Health Tracker and Tracking Attendance

Click on an event (a practice or game) to the Health Tracker and Player RSVP lists.

Health Tracker:

This is the system families use to complete their pre-event health screening the day of the event, preferably 1-2 hours before its start. Additional details are available in this article.

You may encounter one of the following scenarios:

A family fails their result by accident: this could be due to fat fingers or a rush to complete. If contacted by the family about receiving this result in error, you may overwrite their status within the Health Tracker.

A family fails their result by answering “YES” to one of the six questions: refer the family to [email protected] and direct them to provide as much information as possible. The club’s Safe Return to Play Committee will collect information to either clear or pause that individual’s participation.

A family completes the Health Tracker survey a day or more in advance: unfortunately the results of the survey cannot be changed – only changed from passed to failed, or failed to passed. Communicate with the family the requirement it is completed the day of the event and its importance. If this pattern continues, change the child’s status to failed and notify [email protected].

 
RSVP:

Use the Player RSVP system at each team’s event to record attendance. Accurate attendance of all participants is critical, in the event a participant is deemed to be infectious at the time of that practice or game.

To change a player's RSVP status to track their attendance:

No change is needed for anyone who RSVP’s as “Going” who attends, or “Not Going” if they’re absent.

Change anyone from “Not Going” to “Going” if they’re present.

Change anyone from “Going” to “Not Going” if they are absent

Messages: Automatic Reminders and Chat Feature

Reminder Messages:

Prior to each event, an automatically generated email will be sent to all team members. This reminder message can be turned off, or changed to be sent one, two, or three days prior to each event.

To adjust this feature:

1. open any event on your calendar.

2. locate the "edit" button underneath the Staff/Family RSVP.

3. Click on "Remind Team" to adjust the timing of the message, or to turn off/on this feature.

Team Chat Message:
Use the Message feature to send team-wide texts, alerts and reminders as needed.
